The Assign Assets module allows administrators to allocate company assets to employees and track their usage, returns, and status. This module helps organizations manage physical resources such as laptops, hardware devices, furniture, or other equipment assigned to employees. It ensures accountability and proper tracking of assets throughout their lifecycle.

Assign Assets

The Assign Assets module allows administrators to allocate company assets to employees and track their usage, returns, and status. Overview

The Assign Assets dashboard provides a complete overview of all asset assignments within the organization. It displays information about which assets are assigned to employees, their quantities, assignment dates, and return status. This helps administrators easily monitor asset distribution across the organization.

Assign Asset

Administrators can assign assets to employees by clicking the Assign Asset button.

While assigning an asset, the administrator provides the following details:

  1. Asset Type – Defines whether the asset is a single item or multiple items.
  2. Asset – Selects the asset that will be assigned to the employee.
  3. Expected Return Date – Specifies the expected date when the asset should be returned.
  4. User Selection – Administrators can select one or multiple users to assign the asset.
  5. Notes – Additional information or comments about the asset assignment.

Once completed, the assignment is saved and recorded in the system.

Asset Assignments

The Assignments tab shows the current asset assignments.

Each record includes:

  1. Asset Name
  2. Assigned Employee
  3. Assigned Quantity
  4. Return Status
  5. Assigned Date
  6. Expected Return Date
  7. Actual Return Date
  8. Assignment Status
  9. Activity Status (Active / Closed)
  10. Notes
  11. Assigned By

Asset Return

If an asset needs to be returned, administrators can use the Return Asset option.

Once returned, the system updates:

  1. Return Date
  2. Assignment Status
  3. Asset availability

This helps maintain accurate inventory records.

Asset Status

Assets can have different statuses depending on their lifecycle stage.

  1. Assigned – The asset has been successfully assigned to an employee.
  2. Partially Assigned – Some items from the asset quantity are assigned while others remain available.
  3. Returned – The employee has returned the assigned asset.
  4. Closed – The asset assignment process has been completed.

Asset History

The History tab provides a complete log of asset activities.

It records events such as:

  1. Asset assignments
  2. Asset returns
  3. Stock updates
  4. Lost assets
  5. Maintenance activities

This history ensures transparency and traceability for all asset-related actions.

Asset Activity Types

The system records different types of asset activities:

The Asset Reports module provides a comprehensive overview of all company assets, their current status, usage, and maintenance history. It helps administrators analyze asset distribution, track availability, and monitor maintenance activities through visual reports and detailed tables. This module enables organizations to make informed decisions about asset management and inventory control.

Overview Dashboard

At the top of the page, the system displays a quick summary of asset statistics.

  1. Total Quantity – Displays the total number of assets available in the system.
  2. Available – Shows how many assets are currently available and not assigned to any employee.
  3. Assigned – Indicates the number of assets that are currently assigned to employees.
  4. Maintenance – Displays the number of assets currently undergoing maintenance.
  5. Lost – Shows assets that have been marked as lost.

These summary cards provide administrators with a quick understanding of asset inventory and status.

Single vs Multiple Assets

This section displays a visual chart comparing single assets and multiple assets.

  1. Single Assets – Assets that exist as individual items (e.g., laptops).
  2. Multiple Assets – Assets available in bulk quantities (e.g., chairs, books, or accessories).

The chart helps administrators understand how assets are categorized within the inventory.

Assets by Status

This panel displays the distribution of assets based on their status.

The system categorizes assets into:

Asset Quantity Distribution by Category

This section acts as the central inventory system where administrators can register new assets, track quantities, monitor asset status, and maintain asset details. At the top of the page, the system provides quick filters to categorize assets based on their current status.

  1. All – Displays all assets in the system.
  2. Available – Shows assets that are currently available and not assigned to any employee.
  3. Assigned – Displays assets currently assigned to employees.
  4. Under Maintenance – Lists assets that are undergoing repair or servicing.
  5. Lost – Shows assets that have been marked as lost.

These filters help administrators quickly locate assets based on their operational status.

Asset Card View

Assets can be displayed in card format, where each card shows detailed asset information.

Each asset card includes:

Add New Asset

Administrators can register a new asset using the Add Asset button.

The asset creation process includes three steps:

Step 1 – Asset Information

In this step, administrators enter the basic details of the asset.

Fields include:

  1. Asset Image – Upload an image representing the asset.
  2. Asset Type – Defines whether the asset is a single item or multiple items.
  3. Asset Name – The name of the asset.
  4. Quantity – Total quantity of the asset available.
  5. Category – Defines the asset category such as hardware, equipment, etc.
  6. Is Assignable – Specifies whether the asset can be assigned to employees.
  7. Is Returnable – Indicates whether the asset must be returned after use.
  8. Status – Defines whether the asset is active or inactive.

Step 2 – Purchase, Vendor & Status

This step records procurement and vendor details for the asset.

Fields include:

  1. Purchase Date
  2. Purchase Cost
  3. Warranty Expiry
  4. Vendor Name
  5. Vendor Contact
  6. Location
  7. Additional Notes

These details help organizations track asset ownership and warranty information.

Step 3 – Asset Configuration

In this step, administrators can add technical specifications or configuration details related to the asset.

Examples include:

  1. Processor type
  2. RAM capacity
  3. Storage size
  4. Operating system
  5. Hardware specifications

Administrators can add multiple configuration fields to fully describe the asset.

Search and Sorting

The Assets page includes search and sorting features that help administrators quickly find specific assets based on:

  1. Asset name
  2. Category

The Maintenance dashboard displays all maintenance records for company assets. Each record includes details such as maintenance type, maintenance date, vendor information, and current status. Administrators can easily track which assets are under maintenance and monitor upcoming service schedules.

Maintenance Status Categories

The system categorizes maintenance records based on their current progress.

  1. Scheduled – Displays maintenance tasks that have been scheduled but have not yet started.
  2. Pending – Shows maintenance activities awaiting approval or action.
  3. In Progress – Indicates maintenance activities that are currently being performed.
  4. Completed – Displays maintenance tasks that have been successfully finished.

These status filters help administrators monitor maintenance progress efficiently.

Maintenance Records Table

The maintenance list displays detailed information for each maintenance record.

Each record includes:

  1. Maintenance Type – Type of maintenance activity (e.g., Repair, Service)
  2. Description – Details about the maintenance work
  3. Maintenance Date – Date the maintenance is scheduled or performed
  4. Cost – Expense incurred for the maintenance
  5. Vendor Name – Vendor responsible for performing the maintenance

The maintenance form includes the following fields:

  3. Quantity – Specifies the number of assets undergoing maintenance.
  4. Maintenance Type – Defines the type of service required, such as repair or servicing.
  5. Maintenance Date – Date when the maintenance activity will occur.
  6. Next Due Date – Future maintenance schedule for the asset.
  7. Vendor Name – Name of the service provider performing the maintenance.
  8. Vendor Contact – Contact information for the vendor.
  9. Cost – Total cost of the maintenance service.
  10. Status – Defines the current maintenance status such as Scheduled, Pending, In Progress, or Completed.
  11. Description – Additional notes or details regarding the maintenance work.

After entering the details, administrators can save the record to track the maintenance activity.

The Categories dashboard displays all asset categories created in the system. Each category represents a classification that can be assigned to assets when they are created. This structure helps maintain a well-organized asset inventory.

The categories table displays all available asset categories along with important information.

Each category record includes:

  1. Name – The category name used to classify assets
  2. Description – Additional details about the category
  3. Is Active – Indicates whether the category is active or inactive
  4. Created By – The administrator who created the category
  5. Created At – Date and time when the category was created
  6. Actions – Options to edit or delete the category

This view allows administrators to manage asset classifications efficiently.

Add New Category

Administrators can create a new category using the Add Category button.

The category creation form includes the following fields:

  1. Name – Defines the name of the asset category.
  2. Is Active – Specifies whether the category is currently active and available for use.
  3. Description – Optional notes or details describing the category.

Once the information is entered, administrators can save the category to make it available when creating assets.

Edit Category

Existing categories can be updated if changes are required.

Administrators can modify:

  1. Category name
  2. Active status
  3. Description

This allows organizations to keep asset classifications accurate and up to date.

Delete Category

Categories that are no longer required can be removed from the system. Deleting unused categories helps maintain a clean and organized asset structure.

My Assets

The My Assets module allows employees or users to view the assets assigned to them. It provides visibility into currently assigned assets as well as a complete history of asset transactions. This module ensures transparency by allowing users to track their asset usage, returns, and maintenance status.

Overview

The My Assets dashboard displays assets that are currently assigned to the logged-in user and records of previous asset transactions. Users can easily monitor their asset allocation and review past activities related to asset assignments.

Tabs in My Assets

The module contains two main sections.

Current Assets

This tab shows assets that are currently assigned to the user.

If no assets are assigned, the system displays a placeholder message indicating that no records are available.

Users can also:

  1. Sort assets using the Sort By option
  2. Search assets using the Search bar

This section helps employees quickly view the resources they are currently responsible for.

History

The History tab shows a complete record of asset transactions associated with the user.

Each record includes the following details:

  1. ID – Unique identifier for the asset transaction
  2. Asset – Name and type of the asset
  3. Type – Type of asset action performed (Assigned, Returned, Maintenance, Stock-In)
  4. Quantity – Number of asset units involved
  5. Notes – Additional comments or remarks
  6. Action Date – Date and time when the asset activity occurred
  7. Actions – Option to view additional details

This section allows users to track their asset usage history over time.
